The Assignments feature in TrainingLink is a powerful tool for creating and managing training assignments without adding them to the employee's training calendar. This guide will walk you through the steps to create assignments for individual employees and multiple employees. Let's get started!

Creating an Assignment for an Individual Employee
1. Access the Assignments Tab
· Navigate to the Admin Dashboard.
· Click on the Assignments tab.
2. Create an Assignment
· Click on the button to create an assignment for an individual employee.
· Select the employee from the list. Their name will appear in the assigned field.
3. Choose the Type of Assignment. You have three options:
· Agency CBT: For custom computer based training (CBT) modules created for your agency (if any have been developed).
· Pro CBT: For CBT modules available in the Pro CBT library (for PRO subscribers only).
· Non-CBT Assignment: For any other type of training.
4. Configure the Assignment
For CBT Assignments:
· Select the CBT module from the dropdown menu.
· The format will automatically populate as "Computer Based Training".
· Optionally, add a note and an expected due date for the trainee.
For Non-CBT Assignments:
· Enter the topic name.
· Optionally, paste a web address link to specific content (e.g., TrainingLink video, YouTube video, or document link).
· Optionally, enter the trainer's name, expected training time, training format, a note to the employee, and an expected completion date.
5. Click SUBMIT to finalize the assignment.
Employee View of Assignments
1. Access Assignments
· On the Trainee Home page, click on the Assignments tab.
· The employee will see a list of their assignments with links to the training if provided.
2. Complete and Record Training
· After completing the training, the employee can click the blue bar to enter the completion date.
· The expected training hours will prepopulate if entered during assignment creation, and the employee can adjust them if necessary.
· The employee can enter a message to the administrators and email notification of completion if desired.
Admin Review and Credit Assignment
1. Review Completed Assignments
· On the Admin Dashboard, navigate to the Assignments page.
· Review the list of completed assignments.
· Click the arrow icon next to the assignment to review the details and make any necessary changes.
2. Credit for Completed Training
· Agency or Pro CBTs: TrainingLink will automatically credit the employee upon completion.
· Non-CBT Assignments: Manually issue credit by checking the appropriate box on the Assignments page.
3. Archive Assignments
· For CBT assignments, check the box to archive the assignment and remove it from the active list.
· For Non-CBT assignments, check the box to add the completion to the employee's training record and archive it.
· Then click UPDATE to finalize.
Creating Assignments for Multiple Employees
1. Select Assignment Type
· Choose between a CBT or Non-CBT assignment.
· Complete the rest of the form with the assignment details.
2. Assign to Multiple Employees (optional). To assign the training to a whole department, check the corresponding box and select the department.
3. Click SUBMIT.
4. Additional employees can be assigned by selecting their names. Wait for the names to populate, then click ADD.
5. Once all selected employees appear on the list, they have been assigned the training. You can now click the link to return to the main Assignments page.
