What Kind of Reminders Does TrainingLink Send?

TrainingLink has several built-in reminder systems to help employees and administrators stay on top of their training. Below is a breakdown of when and how reminders are sent.

Live Online Training

Employees who are registered for a live online training will automatically receive reminder emails:

  • 1 week before the training

  • 1 day before the training

  • 1 hour before the training

These reminders help ensure employees don’t miss their scheduled sessions.

Assignments

When creating or editing an assignment, you can choose to send reminders by checking the appropriate boxes. If enabled, reminders go out as follows:

  • Employees

    • Receive an email two weeks prior to the due date

    • If the assignment is still incomplete, they receive weekly reminders after the due date until the assignment is complete

  • Administrators

    • Receive a weekly digest email listing the assignments they created that are overdue

Requirements

TrainingLink does not automatically send reminders for employee training requirements.

However:

  • Employees can always see their requirements and next due date on their User Profile page.

  • Administrators may want to remind employees outside of TrainingLink to check their profiles regularly.

Training Topics

TrainingLink can send monthly reminders for agency training topics, but this feature requires setup. To enable:

  1. Go to the Admin Dashboard → Requirements tab, and select a month for each Topic.

  2. Go to the Agency Subscription tab, and check the box for “Receive monthly reminders of agency topics.”

Once enabled:

  • Emails automatically go to the agency’s primary administrator.

  • Additional administrator emails can be added under the same checkbox.

Tip: Setting up reminders properly can significantly reduce overdue training and missed sessions.
